Dropshipping Branding: Packaging, Invoices and Inserts

In short: Dropshipping branding doesn't start with printed boxes, but with neutral shipping without supplier advertising and without a purchase receipt in the package. Then come the inexpensive levers: branded emails, tracking page and invoice. Suppliers such as CJdropshipping or Zendrop offer inserts, custom packaging and private label. Watch out: once only your name is on the packaging and product, you also take on obligations under the German Packaging Act and product safety rules.

"Will the package say AliExpress?" and "Will the customer see my purchase price?" are among the most common questions under dropshipping videos. This article shows the levels of dropshipping branding, what they achieve, how to handle invoices properly in Shopify and what legal consequences your own branding has in Germany. It's part of our overview of Shopify dropshipping in Germany.

What your customer sees without branding

Without any arrangements, your customer receives the package the way the supplier ships it. Typically:

  • a shipping label with the supplier or a logistics company as the sender,
  • for shipments from non-EU countries, a customs declaration with the declared value of the goods,
  • the manufacturer's original packaging, sometimes with a marketplace logo,
  • in the worst case, flyers or a supplier's packing slip with the price.

That's not the end of the world, but it costs trust and invites customers to look for the product directly from the supplier next time. The good news: the most important points can be solved at no extra cost.

The five levels of dropshipping branding

LevelWhat it includesEffort and costWhen it makes sense
0: Neutral shippingNo supplier advertising, no price, no third-party packing slipUsually free, just an arrangementFrom the first order, essential
1: Digital brandingEmails, tracking page, invoice with logo, sender domainLow, usually settings or an inexpensive appFrom the first order
2: InsertsThank-you card, discount code, care instructions with logoPrinting costs plus a fee at the supplierAs soon as a product sells regularly
3: Custom packagingPrinted box, mailer bag or stickersMinimum quantities, prepayment, storage at the supplierWith stable sales of one product
4: Private labelYour logo on the product and product packagingMinimum quantities, sample costs, legal manufacturer obligationsWhen you're building your own brand

The order matters. A branded box is of little use if the shipping confirmation arrives as a standard Shopify email with the wrong sender address and the delivery time is off. What the jump from level 3 to a real brand looks like is described in the article From dropshipping to your own brand.

Digital branding: emails, tracking, sender

Your customer has digital contact with your store more often than with the package. This is where branding is cheapest.

  • Notifications: You customize order confirmation, shipping confirmation and other customer emails in the Shopify admin under notifications, according to Shopify also with your logo and brand colors.
  • Sender domain: Emails should come from your own domain, e.g. service@yourstore.de, not from a free email address. This requires a connected custom domain, see Connecting your own domain to Shopify.
  • Tracking page: Instead of sending the customer to a Chinese logistics company's website, you can embed your own shipment tracking in the store. DSers offers this from the Advanced plan, for example, and there are also dedicated tracking apps.
  • After the purchase: A short email with usage tips or a request for a review has more impact than any sticker. How to set up such flows is covered in Email marketing in Shopify.

Invoices in dropshipping

No supplier invoice in the package

The supplier shouldn't include a receipt showing your purchase price. With AliExpress sellers, a note in the order helps (DSers can send it automatically); with CJ and other providers, a setting or an arrangement. Check this with a test order to yourself.

Do you have to issue an invoice to consumers?

Under German VAT law, you're generally not obliged to issue an invoice to private customers. It is mandatory for business customers. Still, many customers expect an invoice, for example for warranty claims, and you need proper records for your accounting anyway. The easiest way is to send the PDF invoice automatically by email.

How to create invoices in Shopify

SolutionExamplesA good fit if
Invoice app from the Shopify App StoreOrder Printer Pro, Vify Order Printer, Order Printer TemplatesYou want your own templates and PDF invoices, and you do your accounting separately
Accounting software with Shopify integrationLexware Office (formerly lexoffice), sevdeskInvoices, credit notes and accounting should come from one system and go to your tax advisor

Which solution fits depends mainly on whether your accounting already runs in software like Lexware Office or sevdesk. An overview of invoicing obligations, e-invoicing and tools is given in Invoices and accounting in your Shopify store.

If you also sell to business customers, keep e-invoicing in mind: all companies in Germany must be able to receive e-invoices since January 1, 2025. Companies must issue them in B2B transactions in stages, by January 1, 2028 at the latest; businesses under the small business rule (Kleinunternehmerregelung) and invoices to private customers are exempt (DIHK (German)).

Can the order confirmation replace the invoice? In theory only if it contains all the mandatory details of an invoice, including a sequential invoice number, tax details and date of supply. In practice, a dedicated invoicing solution is cleaner, especially because of credit notes for returns. Clarify this with your tax advisor.

Under the small business rule, you don't show VAT and need a note on the invoice about the tax exemption under ยง 19 UStG. The matching settings in Shopify are explained in Setting up taxes in Shopify.

Packaging, inserts and private label

From level 2 on, you need a supplier that offers branding services. According to the Shopify App Store, CJdropshipping (custom packaging, inserts, private label) and Zendrop (private label, custom packaging), for example, offer such options. With AliExpress sellers, this only works through individual arrangements, and reliability varies.

Here's how to proceed:

  1. Validate the product: Only invest in packaging once a product sells reliably. Branded boxes for a product that dies after two weeks are wasted money.
  2. Send an inquiry: Ask about minimum quantities, unit price, print file format, storage costs at the supplier and lead time.
  3. Order a sample: Have a sample sent to you first, then approve.
  4. Adjust your calculation: Packaging and inserts cost money per order and tie up capital, because you pay in advance.

And if the supplier doesn't offer any branding at all? Then you can have the goods sent to you and repack them yourself. That's no longer dropshipping, though: you need storage space and time, pay shipping twice and become subject to licensing obligations for the shipping packaging yourself. For individual bestsellers, this can still be the entry point to your own brand.

An insert doesn't have to be a glossy flyer. A card with a thank-you, a discount code for the next order and a QR code to care instructions or a review page does the job. For the logo itself, the article Finding a store name and logo helps.

If branding matters more to you than a huge assortment, print on demand is often the easier route: labels, inserts and packaging are frequently standard features there. More on this in Print on demand with Shopify.

The more prominently your name appears on the package and product, the more obligations you take on. This hardly comes up in English-language tutorials.

Packaging Act (Verpackungsgesetz)

In dropshipping, the supplier is generally responsible for the packaging under the German Packaging Act. But if only your store is recognizable as the seller on the outer packaging, according to IT-Recht Kanzlei (German) you yourself are subject to registration and licensing. You then need a registration in the LUCID packaging register (free) and a contract with a dual system (paid).

Product safety

If you sell a product under your own name or brand, you count as the manufacturer under the General Product Safety Regulation (GPSR). You must then appear in the listing as the manufacturer with postal address and electronic address, and you bear the manufacturer's obligations, for example for labeling, warnings and product safety (IT-Recht Kanzlei on the GPSR (German)).

Trademark law

Before you have your logo and name printed on boxes and products, check that the name isn't already protected as a trademark. Rebranding after a warning letter (Abmahnung) is more expensive than any research beforehand.

FAQ

Will the package say AliExpress or my store name?

Without an arrangement, usually neither: the sender is generally the seller or a logistics provider, often with an address in China. Marketplace logos on the packaging do occur, but not with every seller. You only get your store name on the package through suppliers with a branding service or custom packaging. Always check the result with a test order.

Will the customer see what I paid for the product?

That can happen if the supplier includes a packing slip with the price, or if the value of the goods is stated on the customs declaration for shipments from non-EU countries. A clear instruction to the supplier helps against the receipt. The customs declaration can't be avoided, because the value of the goods must be declared correctly. That's another argument for suppliers with an EU warehouse.

Is the invoice sent to the customer automatically?

Not automatically. Shopify sends order and shipping confirmations; you usually generate an invoice with all mandatory details using an invoice app or accounting software with a Shopify integration. Many of these solutions can send the PDF invoice automatically by email or add a download link to the shipping confirmation. Test the link beforehand with a test order.

Do I get invoices for tax purposes from AliExpress or Alibaba suppliers?

You usually get order receipts that you can use as purchase records for your accounting. Whether they meet all the requirements of your tax office and how import VAT and input tax should be handled is best clarified with your tax advisor. Save every receipt immediately; doing it afterwards is tedious.

Does the print-on-demand provider include the invoice?

No. Printful, Printify, Shirtigo and co. include at most a packing slip, often with your logo and without prices on request. You issue the invoice to your customer yourself, with your name and address, because you're the seller. The POD provider in turn invoices you for production and shipping, which you pass to your accounting as a purchase record.

Can I add branding later?

Yes. You can adjust digital branding such as emails, tracking page and invoice at any time. Inserts and custom packaging can be added with suppliers that offer a branding service as soon as a product sells. A complete rebrand of the store, i.e. a new name and new logo, is more work, because the domain, social media profiles and reviews are tied to it.

What does your own branding cost in dropshipping?

Neutral shipping and digital branding cost almost nothing. For inserts, packaging and private label, suppliers quote individual prices and minimum quantities that vary greatly depending on the product and print. Get several quotes and factor the cost per order into your price before you order.
