Shopify Payouts in Germany: When Your Money Arrives and Why It Stalls

In short: With Shopify Payments in Germany, Shopify payouts take at least 3 business days after the payment, often longer for new stores. After that, your bank usually needs another 1 to 3 days. PayPal payments don't end up in the Shopify payout, but go directly to your PayPal account. If a payout is stuck, it's almost always due to missing information, incorrect bank details or a reserve.

You've got your first orders, but the money isn't in your account yet? This article explains how Shopify payouts work in Germany: when which money arrives where, how to set the payout schedule and what to do if a payout stays "pending" or fails. It's part of the overview Payments, payouts & pricing in Shopify.

Where does the money go?

The money doesn't stay "on the website". Depending on the payment method, it takes a different route. That's the most common source of confusion when revenue in Shopify and money in your account don't match.

Payment methodWho processes it?Where does the money arrive?
Card, Apple Pay, Google Pay, Shop PayShopify PaymentsShopify payout to your current account
Klarna via Shopify PaymentsShopify PaymentsShopify payout to your current account
Klarna with your own Klarna contractKlarnaPayout by Klarna, separate from Shopify

With Shopify Payments, Shopify deducts payment fees directly from the payout. So you don't receive the order amount, but the order amount minus fees, minus refunds and chargebacks. How refunds and cancellations work is covered in Processing orders in Shopify: cancellations, refunds, customer service. How to set up payment methods is covered in Setting up payment methods in Shopify.

How long do Shopify payouts take?

According to Shopify, the minimum processing time in Germany is 3 business days. It's counted from the payment, in business days, based on UTC time. Weekends and public holidays don't count, and there are no payouts on those days. Shopify combines payments from Friday to Sunday into one payout. After the payout, your bank usually needs another 24 to 72 hours until the money is visible.

Payment receivedPayout (earliest)In your account (approx.)
MondayThursdayThursday to Monday
WednesdayMondayMonday to Wednesday
Friday, Saturday or SundayWednesday (one combined payout)Wednesday to Friday

The table applies to the minimum time without public holidays. New stores often wait longer. Shopify states that the processing time can be longer for new accounts and shortens with reliable order fulfillment. So don't plan on the money arriving after three days in the first few weeks. PayPal runs independently of this. The money is usually in your PayPal account immediately. But if the payment was made to a PayPal account that isn't confirmed yet, Shopify shows "Payment pending". According to Shopify, after you confirm your PayPal email, the credit can take up to two business days.

Viewing payouts and choosing a schedule

You'll find your payouts in the admin under Settings > Payments, in the Shopify Payments section via View payouts. In the Shopify mobile app: Menu > Settings > Payments > View payouts.

  • Schedule: daily, weekly or monthly. Daily doesn't mean faster, but more often: the 3-business-day minimum time stays.
  • Minimum amount: โ‚ฌ1. If your balance is below that, the payout stays pending until enough has accumulated.
  • Changing the schedule: Pending payouts are postponed until the next date of the new schedule. So don't keep switching back and forth.
  • Other currencies: Payouts in USD, GBP or CHF are only available on the Advanced and Plus plans, with conversion fees. For most German stores, euros are the right choice.

Payout stuck: causes and solutions

If a payout stays "pending" longer than expected, fails or is paused, there's almost always one of these reasons behind it. First check the notice on the payouts page and the emails sent to the store owner (including the spam folder).

What you seeLikely causeWhat to do
Payouts are being held, notice in the adminShopify or the partner bank needs more information for verification (ID, address, business, bank account)Submit the requested documents and reply directly to the Shopify email

Part of the money is "reserved"Reserve after a risk review, e.g. for pre-orders, long delivery times, rising refund rate, many chargebacks or a sudden jump in revenueCheck the expiry date; appeal by replying to the reserve email, if possible; meet the stated conditions

Payout later than expectedWeekend, public holiday or longer processing time for a new accountCount the business days again; for new stores, plan for patience

What a reserve means

A reserve is a temporary hold of a fixed amount or a percentage of every payment. Shopify gives 10% for 120 days as an example; the rest is paid out normally. The reserve covers possible refunds and chargebacks and has an expiry date. After that, the money flows into the next payouts. If you sell pre-orders or personalized products with long production times, you should know this risk. Details: Shopify Help Center on reserves.

When Shopify reviews your account

With an account hold, you can keep working on your store, but you won't receive payouts until the review is complete. Customers can usually keep ordering, but in some cases checkout is blocked too. Only the store owner can resolve the hold. Shopify doesn't give a fixed time frame. It's fastest if you send the requested information in full. Source: Shopify Help Center on account holds.

If nothing happens despite complete information, contact Shopify support. For failed payouts with correct bank details, a call to your bank often helps too.

Which account do you need?

For Shopify Payments, you need a SEPA-enabled euro current account with an IBAN from an approved country, for example DE or AT. Shopify doesn't accept savings or multi-currency accounts. You don't need a foreign account outside the SEPA area or a SWIFT account for international sales: Shopify pays out in euros, no matter where your customers come from.

Adding or changing your bank account

You enter the payout account when setting up Shopify Payments; later you change it in the Shopify Payments settings under Settings > Payments. Without a fully added account, there's no payout. Make sure the account holder matches your business details. You can't use a credit card or debit card as the payout destination.

Traditional bank or neobank?

Both work, as long as it's a SEPA current account in euros. For German stores, Shopify accepts IBANs from 29 countries, including DE, AT, CH, NL and LT. According to its requirements page, Shopify accepts virtual accounts such as Revolut or Payoneer, but warns of more failed payouts. Services that only imitate bank accounts don't work at all. Decide based on account fees, accounting integration and whether you can reach a contact person in an emergency.

Whether it has to be a designated business account doesn't depend on Shopify. As a sole proprietor in Germany, you're not legally required to have a business account. However, many banks prohibit business use of a personal account in their terms. Our recommendation: open a separate account just for the store. That separates personal and business finances and saves you a lot of searching when doing your tax return.

For PayPal, Shopify requires a PayPal business account. If PayPal asks for a commercial register number (Handelsregisternummer) during sign-up and you aren't in the commercial register as a sole proprietor: you don't have to register just to use PayPal. Choose the legal form that fits you and only enter the details you have. If you don't have a trade registration (Gewerbe) yet, first read Do I need a trade registration for my Shopify store?

Under 18, according to Shopify's terms, you can't get your own account and therefore no payouts either. What's possible in that case is covered in Running an online store under 18.

Payouts, VAT and accounting

Shopify doesn't deduct VAT for you. The payout contains the gross amount of the orders, i.e. including VAT, minus payment fees. You pay the VAT to the tax office (Finanzamt) yourself, unless you use the small business rule (Kleinunternehmerregelung). So part of every payout doesn't belong to you. How to set up tax rates in Shopify is covered in Setting up taxes in Shopify.

  • Fee invoice: Shopify issues a monthly invoice for Shopify Payments on the 5th of the following month. You'll find it as a PDF under Documents. For European stores except in Ireland, the fees don't include VAT. How to book this is best clarified with your tax advisor.
  • Export: Via View order transactions > Export, you get a CSV file with all transactions.
  • Reconciliation: A payout isn't revenue. It bundles many orders, fees and refunds. For accounting, you need the breakdown, not just the amount on your bank statement.

Shopify doesn't create invoices for your customers according to German requirements. Which obligations apply and which tools help is covered in Invoices & accounting in your Shopify store.

Paying suppliers before the money arrives

This question comes up in almost every dropshipping video: do I pay the supplier with the customer's money? In practice, mostly not. Dropshipping apps and print-on-demand providers charge your saved card or your balance as soon as you pass the order on to them. The Shopify payout only arrives days later.

So you need a buffer: purchasing and advertising costs for at least one week, and for new stores with longer processing times, preferably for two to three weeks. With 100 orders in one day, you have to advance the goods for all 100. How much starting capital you should plan for this is covered in How much starting capital do I need? What exactly happens after the first order is explained in What happens after the first order?

FAQ

Where can I see my Shopify payouts?

In the Shopify admin under Settings > Payments, in the Shopify Payments section via "View payouts". In the Shopify app, you'll find them under Menu > Settings > Payments. There you see each payout with its status, date and the transactions it contains. PayPal payments don't show up there; you see those in your PayPal account.

My payout has been pending for over a week. What should I do?

First check whether there's a notice in the admin about missing information or an account review, and search your inbox, including spam, for emails from Shopify. For new stores, the processing time is often longer than 3 business days. If there's no notice and your bank details are correct, contact Shopify support via the admin.

Where does the money go when someone pays with Klarna?

That depends on how Klarna is integrated. If you've activated Klarna as a local payment method in Shopify Payments, the money is part of your regular Shopify payout. If you use your own contract with Klarna and an external integration, Klarna pays you out separately. You don't need your own Klarna merchant account with the Shopify Payments option.

Is Shopify Balance available in Germany?

No. According to Shopify, Shopify Balance, Shopify's business account with faster payouts, is only available to merchants with a residential address in the US or Puerto Rico. In Germany, Shopify Payments payouts always go to an external euro current account at your bank. Videos recommending Shopify Balance refer to the US market.

Do I need Shopify Payments to get money at all?

No, but it's the easiest way in Germany. Without Shopify Payments, you can collect payments via PayPal, an external payment provider or prepayment. The money then arrives with the respective provider or directly in your account. With external providers, you also pay the Shopify transaction fee, 2% per order on the Basic plan.

Is money debited from my account when I issue a refund?

Refunds via Shopify Payments are usually offset against your next payouts. If the balance isn't enough, the payout can become negative. Then, depending on the country, Shopify tries to collect the amount from your bank account. So always keep some balance in the payout account, especially after promotions with many orders.
