How to Cancel a Shopify Order, Refund It or Edit It: A Guide
In short: You process orders in Shopify under "Orders": there you can see whether payment has been made, ship via "Mark as fulfilled" with a tracking number, cancel via "More actions > Cancel order" or refund via "Refund". If a payment shows "Pending", the money isn't there yet, so only ship once it says "Paid". For withdrawals in Germany, you must refund within 14 days, generally using the same payment method.
Your first order is in, now what? This article shows you how to process orders in Shopify: understanding the status, shipping, editing, how to cancel a Shopify order and how to refund it. On top of that come the customer service basics you need as a merchant in Germany. It is part of the overview Shopify payments: fees, payouts & pricing.
Where do you find your orders?
All sales are listed in the Shopify admin on the left under Orders. New orders appear at the top, with order number, customer, amount, payment status and fulfillment status. If you click an order, you see the items, the shipping address, the payment details and a timeline of everything that has happened. In the Shopify mobile app, you also get a push notification for every order.
Your customers automatically receive an order confirmation by email after purchase. You'll find the templates for it in the settings under Notifications. Before launch, check them for the right language (German, if you sell to German customers) and for your mandatory information.
Understanding order status: Pending, Paid, Fulfilled
Every order in Shopify has several statuses. The two most important are the payment status and the fulfillment status. According to the Shopify Help Center, they mean:
| Status | Meaning | What you do |
|---|---|---|
| Pending | Payment not yet completed, e.g. with prepayment (Vorkasse), invoice or other manual payment methods. Payment is not guaranteed. | Wait until the money arrives, then "Mark as paid" |
| Authorized | Payment verified but not yet captured (only with manual payment capture) | Capture the payment in time |
| Paid | Money has been captured | Ship |
| Unfulfilled | Not yet shipped | Pack and ship |
| Fulfilled | All items shipped | Nothing, check tracking if needed |
| Partially refunded / Refunded | Money paid back in full or in part | Nothing more, except for returns |
Manual payment capture: 7-day window
By default, Shopify captures card payments immediately at purchase. Under Settings > Payments, you can switch to manual capture, for example for pre-orders or personalized products. With Shopify Payments, according to Shopify, you then have 7 days to capture the payment. If you don't capture within the authorization period, you get no money for that order. Longer authorization periods are only available for Plus stores; there, capturing after the first 7 days costs an extra 1.75%. When captured money reaches you is explained in Shopify payouts: when your money arrives.
Shipping an order and marking it as delivered
- Open the order and click Mark as fulfilled (or buy a shipping label, if available for your store).
- Enter the tracking number. Shopify often recognizes the carrier by the format; otherwise you select it yourself. If your carrier isn't listed, choose "Other" and enter the full tracking URL.
- Leave "Send notification to customer" turned on. The customer then receives the shipping confirmation with the tracking number.
Why does it always say "In transit"?
This is one of the most common questions. According to Shopify, the delivery status comes from the carrier if the carrier passes the status on to Shopify. Some carriers only provide a tracking link but no status. In that case, and if you ship without any tracking number, you'll find the Mark as delivered button in the "Fulfilled" section of the order. Click it as soon as the customer has the goods. The button is missing if the carrier provides the status itself or you bought the label in Shopify; then the status updates automatically.
How to set up shipping zones and prices correctly is covered in setting up shipping in Shopify. If you sell via dropshipping, the supplier ships and the app transfers the tracking number. The process is explained in the dropshipping process: what happens after the first order.
Editing an order: items, quantity, address
The customer chose the wrong size or wants to add something? According to Shopify, you can edit orders before shipping: add or remove products, change quantities, adjust shipping costs and apply manual discounts. To do this, open the order and choose the edit function.
- The order becomes more expensive: You send the customer an updated invoice for the difference.
- The order becomes cheaper: You refund the difference.
- Swapping items: You remove the old item in the edit and add the new one. You don't need a "placeholder product" for this.
Not every order can be edited; Shopify lists restrictions, for example for items that have already been fulfilled. You change the shipping address in the customer section of the order, as long as it hasn't shipped yet.
It's best to catch incorrect or incomplete addresses before you ship: check each address briefly and contact the customer if in doubt.
How to cancel a Shopify order
According to the Shopify Help Center, this is how you cancel an order:
- Open the order under Orders.
- Choose More actions > Cancel order.
- Choose the refund method: original payment method, store credit, or later.
- Select a reason, and optionally add an internal note.
- Restocking inventory and notifying the customer are turned on by default. Leave both on unless you have a reason not to.
- Click Cancel order.
Orders that can't be canceled include partially fulfilled orders (cancel the fulfillment first) and orders being processed by an external fulfillment service. With bulk cancellations, Shopify warns about duplicate refunds.
The customer wants to cancel: what applies legally?
In Germany, a consumer can withdraw from the contract for 14 days, even before delivery. If a customer asks for cancellation before shipping, you treat it in practice like a withdrawal (Widerruf): cancel and refund. Since 19 June 2026, you also have to offer an electronic withdrawal button in your store for this. What exactly that means is covered in making your Shopify store legally compliant in 2026.
Refunding an order: in full or in part
Open the order and click Refund. Enter the quantity of items you want to refund, select shipping costs if needed and check the amount. According to Shopify:
- Several partial refunds are possible until the order value is reached.
- You can refund shipping costs at most up to the amount you charged.
- "Restock items" is turned on by default if you track inventory.
- You can refund to the original payment method, as store credit, or both.
What German law requires
After a withdrawal, you must refund within 14 days, but you may wait until the goods are back or the customer provides proof of return. Under § 357 BGB (German), you must use the same means of payment for the refund that the customer used, unless you have expressly agreed otherwise and the customer incurs no costs. Store credit instead of money back is therefore only possible with the customer's consent. Everything about return addresses, costs and deadlines is covered in returns in dropshipping; it applies to your own stock just the same.
Customer service basics
Yes, you handle customer service yourself, even with dropshipping. To your customer, you are the seller. That's not a disadvantage: fast, friendly service is one of the few areas where small stores beat big ones.
Which channels you need
| Channel | Mandatory? | Tool |
|---|---|---|
| Yes, in the imprint (Impressum) and in the mandatory information | Your own address on your domain, e.g. service@yourstore.de | |
| Contact form | No, but common | Shopify theme (contact page) |
| Live chat | No | Shopify Inbox (free, also in German) or tools like Gorgias |
| Phone | The phone number is part of the mandatory pre-contractual information (Art. 246a § 1 EGBGB) | Your own number or a second number |
| No | Apps from the App Store; mind data protection |
According to its app listing, Shopify Inbox offers live chat, automatic replies for greetings, frequently asked questions and order updates, and an AI assistant. That's enough to start with. Gorgias and similar help desks only pay off once several people are handling inquiries.
Reducing inquiries before they arise
- State the delivery time clearly on the product page and in the confirmation. "Where is my order?" is one of the typical customer questions.
- Always include the tracking number. Customers can then track the status themselves.
- An FAQ page covering shipping, returns, payment and contact.
- Fixed reply templates for the five most common questions, adapted to the individual case.
- Send invoices automatically instead of creating them on request.
Which mandatory details belong on an invoice and which solutions exist is covered in invoices & bookkeeping in a Shopify store.
The goods don't arrive
If a customer reports that nothing has arrived, first check the tracking and the address. When shipping to consumers in Germany, you generally bear the shipping risk until the goods reach the customer. So you clarify the case with the carrier, not the customer. If chargebacks pile up, Shopify Payments can also place a reserve on your payouts.
FAQ
How do I mark a Shopify order as delivered?
Open the order and click "Mark as delivered" in the "Fulfilled" section. The button appears if you ship without a tracking number or your carrier doesn't pass a status on to Shopify. If the carrier provides the status itself or you bought the label in Shopify, the status updates automatically and the button is missing.
Why is my order "Pending" even though the customer has paid?
"Pending" means that the payment hasn't been completed in Shopify yet, which is typical for prepayment or other manual payment methods. Check your bank account. If the money is there, mark the order as paid and ship. With card and PayPal payments, the status should be "Paid" right away; otherwise check whether you have set up manual payment capture.
Can a customer cancel their order themselves?
Shopify doesn't have a classic cancel button for customers by default. Since 19 June 2026, however, customers can withdraw via the legally required withdrawal button, even before delivery. There are apps in the Shopify App Store for an additional cancel button in the customer account. If you cancel yourself, use "More actions > Cancel order".
Do I get the Shopify fees back when I cancel?
No. With refunds via Shopify Payments, you don't get the card fees back, and with external payment providers you don't get the Shopify transaction fee back either. So every canceled or refunded order costs you the fee. Factor these costs into your prices, especially for products with many returns.
Where do I find my sold products?
Under "Orders" in the Shopify admin, you see every sale with items, customer and status. For an overview of which products sold how often, go to the Analytics area and look at the sales by product reports. In the Shopify mobile app, you also get a notification for every new order.
Can I create orders manually, for example for customers by phone or at a market?
Yes, via a draft order. You enter the customer, items and shipping and send the customer an invoice with a payment link, or mark the order as paid if the money is already there. That way, sales outside the online store also end up in Shopify and in your inventory. For a physical shop, there's also Shopify POS.
Can I delete an order?
Only in exceptional cases. You can delete test orders, manually paid orders and draft orders, for example, and even those only after archiving or canceling them. Real orders with card or PayPal payment are archived or canceled instead. That's a good thing, because you have to keep records of business transactions.
